Operations Specialist II – Sabeti Lab

Overview

The Sabeti Lab is seeking a full-time Operations Specialist II to support the financial, sponsored research, and operational activities of a fast-paced academic research group. Reporting to the Associate Director of Finance and Operations, the Coordinator will contribute to financial administration, sponsored research support, communications, and general operational workflows across the lab.

Responsibilities

Financial & Sponsored Research Administration

  • Review and reconcile expenses on sponsored research accounts; assist with preparing and finalizing financial reports.
  • Reconcile corporate credit card activity and maintain accurate tracking of expenditures.
  • Support ongoing financial reporting workflows and compliance processes.
  • Help prepare grant, subcontract, and industry-sponsored research proposals, including budget development and compliance with sponsor regulations.
  • Maintain PI CVs, publication lists, biosketches, and other support documentation.
     

Operations Support

  • Provide administrative and operational support for the lab.
  • Assist with ordering and tracking laboratory materials and supplies.
  • Coordinate student intern and rotation requests; serve as a primary point of contact for prospective trainees and facilitate communication with lab members.
  • Draft and process recommendation letters for lab trainees.
  • Work with lab members on special projects, events, and programmatic initiatives.
  • Assist with maintaining social media accounts and internal/external lab websites.
  • Support PI communications, scheduling, and preparation of meeting and presentation materials.
     

Qualifications

  • Bachelor’s degree required.
  • At least 2 years of relevant professional operational support experience, preferably in an academic or research environment.
  • Strong organizational skills and the ability to learn new systems and processes quickly.
  • Excellent written and verbal communication skills.
  • Experience with AI tools and the ability to learn, use, and train others on new software and digital tools.
  • Ability to handle confidential information with discretion, demonstrate sound judgment, and maintain strong attention to detail.
The expected base pay range for this position as listed above is based on a 40 hour per week schedule. Broad provides pay ranges representing its reasonable and good faith estimate of what the organization reasonably expects to pay for a position at the time of posting. Actual compensation will vary based on factors including but not limited to, relevant skills, experience, education, qualifications, and other factors permissible by law.
