Description & Requirements

The Space Planning & Analytics group (SP&A) is a part of the Broad Institute’s Facilities Operations & Planning Department. The SP&A team, staffed by a diverse group of professionals with backgrounds in architectural design, project management, and data analysis, supports the research mission of the Broad Institute by providing strategic management for its space portfolio (~1M square feet), implementing space renovation projects and providing data collection and analysis to support strategically important initiatives.

This position will be responsible for working directly with the Broad’s administrative and scientific community to help satisfy requests for space by triaging requests, gathering the necessary information from requesting parties, and identifying solutions. Additionally, this individual will also work within our integrated workplace management system, will help to create space standards, and will provide input on space planning and analysis policies. Requires 4-5/day onsite presence. 

Characteristic Duties
  • Manages a team including both data analysts and space planners.
  • Triages all space requests 
  • Responsible for coordinating and overseeing asset and occupant additions, changes, and moves to/from units. 
  • Develops move plans, and sequences group level moves and relocations. 
  • Creates project objectives and schedules, work scope, and financial estimates, and obtains management approval. 
  • Works with vendors, staff, and relevant institutional stakeholders. 
  • Manages large space requests, including collaboration across Administration to ensure that all appropriate data/context is available to support the space governance process. 
  • Ensures space data quality by scheduling regular surveys of existing conditions and updates of space configuration data as well as ensuring compliance with data standards. 
  • Manages the space inventory process and resulting data. Provides direction and support for technology and process improvement projects originating from Facilities in support of the scientific groups (e.g. seat reservation software, equipment reservation software, etc.). 
  • Develops written guidelines and standard operating procedures to provide transparency around space processes and decision-making 
  • Manages vendor relationships Other responsibilities as assigned. 
 Minimum Qualifications 
  • Bachelor's Degree and 7+ years progressive related space planning and project management experience, with at least 2+ years leading teams. 
  • Proficient in Autodesk Revit, Autocad, Adobe Creative Suite, and productivity applications (e.g. Google Suite). 
  • Strong project management skills. 
  • Proven leadership and team management skills.
  • Ability to work efficiently and produce high-quality work under tight deadlines. 
  • Excellent customer service skills and ability to handle stressful situations calmly. 
  • Impeccable attention to detail and organizational skills. 
  • Excellent written, graphic, and verbal communication skills
  • Strong collaboration skills and ability to work with staff at all levels, including executives. 
  •  Knowledge & Skills Working knowledge of laboratory processes and equipment.
  •  Basic understanding of applicable building codes. IWMS experience preferred. 
  • Precise and detail-oriented approach to breaking down complicated tasks and challenges. 
  • Proven ability to drive multiple projects, simultaneously, to completion in a fast-paced environment, prioritizing projects with sound judgment. 
  • Proactive and adaptive; willing to take on and lead novel or ad hoc projects. 
  • Commitment to operational excellence and project delivery.
